The organisation is dedicated to offering the best quality products, the widest selection, and the best customer service in the Australian furniture industry. In addition to Décor, Walk'N'Talk, Black Ice, and Aerial, Zanui belongs to a company called Marlin Brands, which serves more than 18,000 retailers throughout Australia and New Zealand.

The challenge

Zanui’s reputation for being a user-friendly online store with great customer service has meant that they have continued to grow and scale. This success has led to a large inflow of supplier invoices as part of their Accounts Payable (AP) process, and so the organisation sought a solution to streamline this process.

Lack of customisation options in their existing out-of-the-box SaaS AP management solution was an ongoing issue, and Zanui wanted Optical Character Recognition (OCR) and Machine Learning (ML) capabilities to strengthen their Accounts Payable management processes for Purchase Order Matching and financial system integration.

Finally, Zanui wanted to move away from their existing solution’s heavy manual intervention requirements, and move towards an automated solution to improve experiences for internal and external stakeholders.

The solution

Blackbook.ai was engaged by Zanui to design, develop and deliver an Automation and Analytics system to improve visibility, accuracy and traceability of invoices, purchase orders and financial reports across the organisation.

Blackbook.ai’s solution included ABBYY’s FlexiCapture Invoice OCR solution which included Machine Learning technology, so that Blackbook.ai could directly train the OCR tool to accurately extract relevant data from Zanui’s supplier invoices. In addition, the solution utilised UiPath’s Robotic Process Automation (RPA) platform to integrate core systems into the process. Once data from the supplier invoices was automatically captured, purchase orders can be matched (or exempted) and then integrated into the existing financial system for payment, freeing up valuable time for other business-critical tasks and strategic goals.

The outcomes

The solution was all backed by a Power BI Report which enabled Zanui to view process metrics in real-time and make informed decisions, as well as giving Finance and Leadership teams confidence in the process.
